Record Search Policy

1. Purpose

1.1. To specify the non-confidential, contractual documentation that will be included in a record search.

2.1. This policy applies to a record search that will be provided when application is granted.

4. Background

4.1. The Indian Oil and Gas Regulations (Regulations) contain a provision for a record search of non-confidential, contractual documentation that is in the Ministers possession and stored in electronic form and includes a $25.00 record search fee in Schedule 1.

6. Definitions

6.1. Non-confidential, contractual documentation means, for the purpose of this policy, those data fields included in a record search.

6.2. Record search is a system-generated report from RIMS summarizing information related to the contract.

6.3. RIMS means Resource Information Management System and is Indian Oil and Gas Canada’s in-house system that stores data concerning all surface and sub-surface agreements, Indian interest wells, and royalty entities.

6.4. Stored in electronic form means information related to a contract and contained in RIMS.

7. Management policy

7.1. A record search report will contain only non-confidential, contractual information contained in RIMS and summarized in a record search.

8. Responsibilities

8.1. Manager, Lease Administration will ensure the record search, any prescribed forms and any procedures are in alignment with this policy.

11.1. An approved applicant will be provided a record search.

12. Review

12.1. This policy will be reviewed in Q3 of the 2020/2021 fiscal year or sooner if material changes occur in the authorities and references or business practices.
